We are looking for an Executive Assistant to support the SVP, Head of Legal, US Businesses who leads a team of 50 legal professionals providing legal, regulatory and transactional support to the businesses and corporate functions. This role will coordinate and manage executive scheduling, arrange travel plans and prepare and organize important presentation materials and plans.

The role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the executive’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including leaders that report to the executive. To perform this job successfully, the individual is expected to handle highly sensitive and confidential legal, personnel and institutional information while exercising professionalism and discretion.

Job Description

Under the direction of SVP, Legal, US Businesses, provides top-notch, detail-oriented executive administrative support. Responsibilities may require dealing with sensitive legal, personnel and business information.

Essential Duties & Responsibilities
Performs a combination of duties in accordance with departmental guidelines:

  • Must be a self-starter who resolves problems and issues independently and proactively.
  • Assists executive in the coordination of organizational administration activities which may include but would not be limited to scheduling and coordinating meetings, conferences, travel arrangements and maintaining executive’s business calendar.
  • Drafts, prepares and distributes correspondence, memos, and other documents and reports, which require the use of office technologies and software applications.
  • Collaborates with internal and external contacts regarding legal department administration issues and concerns.
  • Work collaboratively with individuals at all levels in the company, from administrative staff to executives.
  • Acting with a sense of urgency, prepares, processes and submit reports, which may include timekeeping, expense, and other payroll/business operations processes; may train staff on timekeeping and other administrative processes.
  • May lead, mentor and train other staff.
  • May establish and maintain official documents and records.
  • May assist executive in special projects.
  • May attend meetings and records notes or provides information as needed.
  • May back up other administrative assistants and may provide administrative assistance to direct team members of the executive.  
  • Assist team members with various legal initiatives and/or lead projects under tight deadlines.

Skills, Knowledge and Abilities

  • Excellent written and verbal communication skills including professional etiquette.
  • Excellent interpersonal skills with the ability to effectively interact with internal and external stakeholders at all levels.
  • Strong computer skills including Microsoft Office suite and other business-related software systems.
  • Excellent organizational skills including ability to prioritize and coordinate multiple tasks.
  • Ability to pay attention to detail.
  • Strong analytical and drafting skills.
  • Overall general knowledge of the insurance industry / legal department is a plus.

Reporting Relationship

  • SVP, Head of Legal, US Businesses

Education and Experience

  • Some college courses or bachelor’s degree.   
  • A minimum of five years of prior experience supporting executives.
  • Prior experience working for P&C carriers / legal department preferred.

In certain jurisdictions, CNA is legally required to include a reasonable estimate of the compensation for this role. In California, Colorado, Connecticut, New York and Washington, the national base pay range for this job level is $37,000 to $64,000 annually. Salary determinations are based on various factors, including but not limited to, relevant work experience, skills, certifications and location.
