The Finance and Subgrants Assistant will provide support to all programs implemented by IREX in Ukraine, by assisting the teams on a range of finance, procurement and subgrants related issues. This position reports directly to the Finance Manager and will work closely with Senior Accountant, Accountant and Finance & Subgrants Coordinator.

Your Background & Skills

  • Bachelor’s Degree.
  • Minimum of 1+ year of relevant experience.
  • Understanding of accounting and bookkeeping procedures.
  • Advanced knowledge of MS Office.
  • Familiarity with accounting software such as 1C, QuickBooks, SAP Concur Expense & Invoice is a plus).
  • Excellent quantitative and qualitative analytical skills.
  • Very good attention to detail, reliability, thoroughness, and accuracy with numbers.
  • Self-Organizational skills, ability to work with large volume of transaction/documents and follow strict deadlines.
  • Must have strong intercultural and communications skills.
  • Must be able to multi-task and maintain a calm, friendly demeanor under stressful situations.
  • Upper intermediate level of English language is a must.
  • Must demonstrate valid proof of unrestricted work authorization in Ukraine.

Your Daily Tasks

  • With oversight of Finance Manager, assist in compiling monthly expense reports (enter expenditures into QuickBooks on a daily basis; scan expenses back-up documentation and attach to QB transactions on a bi-weekly basis).
  • Track and reconcile bank statements in QuickBooks.
  • Gather, file and organize originals of primary documentation (invoices and acts of acceptance, agreements, contracts).
  • Provide support to Finance Manager and program staff in managing SAP Concur (Ukraine): review Vendors, Purchase Orders (Procurement Action Memos) and Invoices, consult local program teams on Procurement, making sure that all documentation is in line with IREX Policies and Procedures.
  • Verify payments supporting documentation according to local and donor regulations (approvals, invoices, memos, etc.)
  • Translate supporting accounting and payment documents as needed.
  • Prepare bank payments in Internet Client Bank program for further processing (monitor availability of funds in local currency; make sure currency exchanges are accurate in order to minimize currency gain/loss).
  • Maintain registration book of power of attorney documents for receiving goods from vendors, prepare such upon request.
  • Provide supporting documentation for donor reporting and audit requests as needed.
  • Assist in contracts review.
  • Assist Finance team as required.
  • Under the supervision of the Finance Manager, provide assistance in subgrants management. This includes tasks such as subgrant design, competition, due diligence, negotiations, preparation of subgrant documents, administration, monitoring, and closeout.
  • Ensure the subgrant files up to date and timely uploaded into IREX internal online documents management systems.
  • Assist in all internal coordination of activities related to the development and execution of subgrants, including internal certification/clearance procedures, financial monitoring and payment disbursements in a timely manner.
  • Assist Finance Manager in budgets and expense reports review as well as provide feedback and recommendations for changes.
  • Assist in generating various subgrant documentation, such as subgrant agreements and modifications, other documents as required.
  • Other duties as assigned.

This position is eligible for Telework. The eligible employee is a regular, full-time Ukraine-based staff who works from a worksite outside the Ukraine office for one or more days a week. 

This position is not eligible for Immigration Sponsorship.
