This is a key senior role within the Hearst Events Team, responsible delivering operational excellence through the end to end execution of a portfolio of physical events across multiple Hearst titles.

We create over 40 events a year for our iconic media brands such as Cosmopolitan, Esquire, Elle, Harper’s Bazaar and Country Living.

 

ABOUT THE ROLE 

 

  • Lead on delivering large-scale events in the Hearst Events portfolio
  • Provide accurate costings for all event grids within SLA turnaround time
  • Plan team resource, capacity management and freelance procurement 
  • Execute supplier tenders for all costs over 30k presenting to the contract review board
  • Provide regular updates to the MD on status of all events
  • Project Management and client liaison for allocated events
  • Responsible for overseeing the delivery of the event portfolio from conception to on-site delivery and post-event support
  • Provide support and guidance to the Event Executives and freelance event managers 
  • Budget management and reconciliation across all events including regular reporting to finance and Portfolio Directors 
  • Support the sponsorship campaign via delivery of contracted event elements working collaboratively with marketing and sponsorship teams to ensure event achieves sponsor objectives
  • Work in conjunction with select external support agencies including production, AV, PR and celebrity management
  • Work collaboratively with other Hearst departments such as PR, CEO office and Editorial teams on event executions
  • Issue detailed briefings to internal and external stakeholders in advance of the event and actively manage all stakeholders on site at events
  • Work closely with Editorial to curate the content programme for the event and support in talent management pre-event and on site

 

ABOUT YOU

 

  • Line management experience
  • Knowledge of media industry and events industry
  • Proven work experience in a similar field or executing similar profile of event
  • Experience working on events with budgets of 500k
  • Knowledge of production, staffing and talent costs
  • Knowledge of industry talent
  • Knowledge of UK venues with expert knowledge of London venues
  • Ability to multi-task and remain calm under pressure whilst maintaining accuracy in work standard
  • Ability to work as part of a team within office and event environment 
  • Flexibility in work approach and time management
  • Competent in using word, excel, power point, internet and e-mail systems
